The window for the detailed entry of a stock receipt line can open:

  • automatically when stock information is missing at the level of the receipt note line: you then need to complete this information at the line detail level.
  • Or when clicking Quantity details entry from the Actions icon to refine the stock info linked to a line of entry.

 In this detail window, you can distribute a receipt note line over several lots, several sub-lots for a lot, several repositories, several locations, several statuses, non consecutive serial numbers.

When the $ character is displayed in the field of a receipt note line, this indicates that this field is detailed: you are then asked to open the stock detail window to view the stock lines linked to the receipt line.

SEEINFO The content and the management of this detail window are processed according to the receipt note transaction setup (Stock tab).

Screen management

The receipts into stock detail screen is made up of a header section and a table containing stock lines.

Header

 This section contains the main characteristics of the receipt note line based on which the detailed entry has been opened:

  • The site where you perform receipt movements.
  • The product received into stock.
  • The document no. for the receipt note, if known.
  • The movement description.
    This field can be entered if the transaction setup allows it. All the stock movements coming from a single detailed entry carry the same description.
  • Quantity.
    This field is loaded with the quantity entered at the level of the receipt note line: this is the quantity to be distributed. It is expressed in the entry unit at the level of the document line.
  • Total. 
    This is the total quantity of the detail lines recorded at the level of the detail window. 
    When entering the screen, this field is automatically completed with the quantity specified on the receipt note line. When entering detail lines in the Receipt movements table, the Total field is updated based on the total of each detail line quantity. 
    You can thus quickly assess if some quantities are still to be described or if you have described more detailed receipts than what was planned and specified on the note line.
  • Order price. 
    This field is unique for a document line and therefore common to all the detail lines that describe a document line.  

Receipt movements grid

Use this grid to enter the detail of a receipt note line:

  • Unit
    This field can be entered based on the receipt note transaction setup. The stock unit is suggested by default. If the field cannot be entered, it is always populated with the stock unit for the product.

    From the Actions icon, you can click:

    - Selection to display, depending on the context, the packing units, the purchase unit, the sales unit and the stock unit of the product. It is not possible to enter a unit other than one of those defined for the product. The purchase and sales units are the default units: they can only be used in receipts into stock if they are also defined as packing units for the product. In the opposite situation, the system converts the quantity entered into stock units.

    - Stock selection in order to select an existing stock line and load the detail line being entered.
  • Quantity
    This field is available for entry. On the first detail line, if the unit entered is the same as the unit in the document line, the quantity proposed is the quantity in the document line. In the case of the distribution of the stock to be entered on the detail lines, the system loads by default the quantity on the current line with the balance of the quantity to be distributed.

    From the Actions icon, you can click:

    - Column update to spread the quantity of the line on all the following lines of the grid.

    - Identical to the preceding line in order to copy the quantity of the preceding grid line to the current line.

    - Balancing in order to calculate the balance of the quantity to be distributed on a detail line, if the quantity entered on this line is in the document line unit.

    - Initial quantity in order to recover the quantity before modification, when the quantity of a line has been changed.
  • Conversion coefficient PAC/STK
    This field can be modified according to the receipt note transaction setup and if the packing unit chosen for the product authorizes this type of modification.
  • STK quantity
    This field, which cannot be entered, is calculated and only displayed if the unit is available for entry.
  • Status
    This field is available for entry. It is controlled based on the list of authorized statuses in the product category for the movement type/movement code in use and based on the quality control management method used for the product (no quality control, modifiable quality control, non-modifiable quality control).

    From the Actions icon, you can click:

    - Selection in order to select a status from the list of statuses and sub-statuses authorized in the product category in use, for the movement type and movement code in use.

    - Column update in order to spread the status entered on the current line to all the following lines of the grid.
  • Warehouse
    This field displays if the product supports warehouses. It takes the value of the warehouse specified on the note line: it is not available for entry but displayed as a reminder.

  • License plate number
    This field is subject to the LPN - Internal container management activity code.
    You use this field to enter as many lines as there are containers used.
  • Location type
    This field is available for entry and is displayed if the product supports locations. Selection is available. According to the management rule defined for the movement type / movement code at the product category level, a location type is suggested by default.
    If the location type is Pending put-away, the lot, sub lot, series and label fields are optional.
  • Location
    This field is available for entry and is displayed if the product supports locations. A selection list is proposed (list of the locations matching the selected criterion). When a warehouse is entered, the location MUST belong to this warehouse.
  • Lot
    This field can be entered and is only displayed if the detail applies to a product managed by lot.
    The population of the lot code depends on the lot management method assigned to the product and the product category.
    Default values can be predefined for the lot code: supplier lot. The entry of a supplier lot immediately loads the internal lot code using the same supplier lot, or the document no. triggering the receipt into stock (in this case, the lot code is assigned when saving the receipt line).
    In the case of a customer return, the supplier lot does not initialize an internal lot. It will potentially be assigned to identify a supplier lot not known by the system.
    If the lot entry mode is set up in the product category with the value 'No', the Lot field is not available for entry and the default value is automatically populated. If no default value is set up, the lot sequence number counter numbers the lot.
    If the lot entry mode is 'New lot', entering a new lot code that does not exist in the system is mandatory (regardless if it is numbered by the sequence number counter, by a default value, or by a manual entry).
    If the lot entry is set to 'Free', you can select an existing lot from the system.

    The grid below summarizes the impact of the setup of the rule management of the Miscellaneous receipttype movements in the mandatory lot management when entering a receipt. In the case of optional lots, you can specify if you want to save a 'blank' lot using the corresponding function available from the Actions icon of the lot field.

    At the contextual level and based on the product lot management, use the Actions icon on the Lot field and click:

    - Selection in order to select an existing lot in the system, provided that the product is not set up as a New lot. In the case of a customer return, this selection will suggest all the lots known by the system, whether in stock or not.

    - Next sequence no. in order to recover the next sequence number counter value when entering the receipt into stock.

    - Identical to the preceding line: applies the lot from the preceding line to the line in process.

    - Lot Complement in order to activate the additional information entry window of the lot in process: based on the product management method and receipt note transaction setup, you can specify information such as the expiry date as well as lot user fields.

    - Lot Info. in order to provide information related to the loading of the lot code.

    - Blank lot in order to request a blank lot; i.e. a lot deliberately left with no value while the product is managed with optional lots. In this case, the system still assigns a lot code by counter.

    - Stock by lot in order to access the inquiry of Stocks by lot.

  • Sub-lot
    This field is available for entry and is displayed in the receipts detailed entry screen only for products managed with sub-lots.

  • Sub-lot numbering
    If the product is managed with sub-lots and if the field is blank, the system performs the update as follows:

    - If there is already a sub-lot in existence for the lot in process, the system proposes the next sub-lot by incrementing the code of the last sub-lot existing for the lot.

    - If no sub-lot has yet been specified for the lot in process, the system proposes by default the sub-lot 00001.

    From the Actions icon, you can click:

    - New in order to calculate the next sub-lot code.

    - Lot complement in order to open the additional information entry window for the lot in process. Depending on the product management method used and receipt note transaction setup, you can specify information such as the expiry date as well as lot user fields.

  • Serial number
    This field can be completed by input or automatic calculation. It is displayed in the receipt detailed entry screen if the product is managed with serial no. on receipt and issue. This is the starting serial number for a range. This field can also be accessed in the event of a customer return linked to serial numbers managed on issue.

    The serial number is calculated at the time of validating the document if the serial number sequence counter exists for the product, if not the system proposes the next serial number with respect to the preceding line.

    From the Actions icon, you can click:

    - Serial sequence in order to assign the next serial sequence number to the current entry, provided that a serial sequence exists for the product. When the entry is canceled, the serial number of the counter is lost: a "gap" is added to the sequence of serial numbers.

    If the serial number management is not global at product level, then the number of generated stock and stock movement lines will match the number of serial numbers.
    If the serial number management is global at product level, regardless of the number of serials numbers in the entered range, then:

      • only one stock movement is generated,

      • only one stock line is generated, provided that no stock differentiator is used (lot, status, location) for these products.

    SEEINFOMultiple detail lines can be created if you need to enter different serial number ranges. In this case, the number of generated stock movements matches the number of generated lines, but as long as no differentiator is used, only one stock line is generated. In order to ensure the traceability of serial numbers, the same number of records and serial numbers are created in the STOTRK - Traceability table.

  • Ending serial number
    This field is calculated and is not available for entry. It is displayed in the receipt detailed entry screen if the product is managed with serial no. on receipt and issue. This field can also be accessed in the case of a customer return for the serial numbers managed on issue.

  • Available stock
    This field is calculated and is not available for entry. This field is displayed if the receipt transaction setup allows it.

  • Number of labels / Label format
    These fields can be entered if the receipt transaction setup allows it. A format is proposed by default from the format associated with the movement unit for the product. This format is modifiable.

    From the Actions icon, you can click:

    - Column Update in order to spread the number of labels/label format entered on the line on all the following lines.

  • Identifier1 / Identifier2
    These fields can be entered depending on the receipt transaction setup.

    From the Actions icon, you can click:
