Work order production tracking

Tracking receipt of manufactured items updates the progress of a work order in Sage X3. You use this transaction to receive finished items from production for a work order. Details you enter include the inspection and quality assurance ratings for the released items, the storage locations in the warehouse or workshop for the released items, the assigned lot identification numbers or batch codes, and any serial numbers used during the production process.

Prerequisites

All fields in the Work order production tracking pages are determined by the selected entry transaction, parameter values in Sage X3, and parameters in Sage X3 functions.

Functional prerequisites

You need to set up parameter values and sequence numbers in Sage X3. This page only provides guidance for the LOTMGT—Lot management mode parameter (GPA chapter, MIS group) because this parameter directly influences whether you need to enter a lot number in this transaction for a released product.

General parameters

Open: Setup > General parameters > Parameter values

Define the following parameter at the folder level in the GPA (Manufacturing) chapter / MIS (Miscellaneous) group:

  • LOTMGT—Lot management mode: Defines at which point in the manufacturing process a lot number is automatically associated with the product. A lot management mode is defined on the product record of every manufactured product.

    No: The Lot field is disabled in this transaction. This is the default value for this parameter. The stock rules apply.

    In planning: The Lot field is disabled in this transaction. If the lot management mode for the product is set to Mandatory lot, a lot number is automatically associated with the product when a work order is set to Planned status in Sage X3.

    In release: The Lot field is disabled in this transaction. If the lot management mode for the product is set to Mandatory lot, a lot number is automatically associated with the product when a work order is set to Firm status in Sage X3.

    At first tracking: The Lot field is accessible in this transaction. If the lot management mode for a product is set to Mandatory lot, a lot number needs to be associated with the product when you enter production activity for the work order in this transaction.

Sequence numbers

Open: Setup > General parameters > Sequence number definition > Assignment

Sequence numbers used by Work order production tracking are in the Stock module.

  • Check that a sequence number is defined and assigned to the Global lot number document type.

Web service prerequisites

  1. Open: Administration > Web services > Classic SOAP pools configuration

    Stop the web service pool.

  2. Open: Setup > Usage > Imports / exports > Import/export templates

    Validate the CWSMKI—CWS import production tracking import template.

  3. Entry transactions

    Open: Setup > Manufacturing > Entry transactions > Work orders

    Open: Setup > Manufacturing > Entry transactions > Production tracking

    Open: Setup > Manufacturing > Entry transactions > Production plan

    1. Check each entry transaction code is Active and has an Access code assigned.
    2. Check the Print documents field (MODDOS) in the Work orders entry transaction (GESMFL) is set to Automatic if you need to print labels for the received products automatically.
    3. Validate the Work orders (GESMFL), Production tracking (GESMTL), and Production plan (GESMIL) entry transactions.
  4. Open: Development > Script dictionary > Scripts > Web services

    Publish the following web services using the Web services function (GESAWE):

    • AOWSIMPORT web service
    • CWSGPRTRPT web service
  5. Open: Administration > Web services > Classic SOAP pools configuration

    Start the web service pool.

How to create a work order production tracking

Open: Manufacturing > Work order production tracking

To create a work order production tracking, you need to enter information on 2 pages:

  1. You use the initial page to set the Tracking date, identify the Work order number, select the entry Transaction, and identify the Product received from the production site.
  2. The Work order production tracking details page is the second page. You use this page to enter received quantities, tracking, and storage details for the released products, and to confirm if production of the released product for the work order is complete and can be closed.

Tap Add quantity to track another receipt from production for the same work order and the same product.

Tap Next to save your tracking details. You can then track another receipt from production from the same production site, either for the same released product or for a different released product.

Tap Create when you have finished and entered all production receipts for the work order.

Operating mode

  1. In the initial page, check the Tracking date and Site are correct.

    The default Tracking date is the current date. You can select an earlier date.

    The default Site is defined for the user.

    You can change the date until you tap to Create the work order production tracking record.

  2. Select the entry Transaction to use. This field is not displayed if there is only one entry transaction assigned to your user profile.
  3. Scan, select, or enter the Work order number.
  4. Scan, select, or enter the Product code if there is more than one released product on the work order. The Work order production tracking details page displays automatically if there is only one released product on the work order.
  5. Enter the Work order production tracking details.
  6. You can now:

    • Track another receipt from production for the same product for the same work order but with different tracking details.

      Tap Add quantity.

      Repeat step 5 until you have specified each quantity that has been received with the appropriate inspection and quality assurance status in a specific lot or storage location.

    • Track a receipt from production for a different released product for the same work order from the same production site.

      Tap Next. The initial page displays automatically. The saved and tracked products and quantities are listed.

      Repeat steps 4 and 5.

At this stage, the tracked receipts are saved in the UI only. They are not yet saved in the database.

Tap Create to receive the finished products and update the work order in Sage X3.

Labels for the quantity of received products are printed automatically.

Step by step: Initial tracking

You can only enter and track production activity for firm work orders.

To track a receipt from production for a work order:

  1. In the initial page, leave the Tracking date or select an earlier date.
  2. Select the entry Transaction to use. This field is not displayed if there is only one entry transaction assigned to your user profile.
  3. Scan, select, or enter the Work order number.

    1. You can start typing to see a list of work order numbers.
    2. In the Work order selection page, to further filter the results, tap the Open filter icon.
    3. Switch ON the filters you want to use and enter the values. You can filter for results by all or part of the work order number, the released routing, and within a range of production start and end dates.
    4. Tap Apply.

      Tap the Work order number from the filtered results.

  4. Scan, select, or enter the Product code if there is more than one released product on the work order. The Product is selected for you if there is only one released product on the work order.

    1. You can search or start typing to see a list of released products.
    2. In the Product selection page, to further filter the results, tap the Open filter icon.
    3. Switch ON the filters you want to use and enter the values.
    4. Tap Apply.

      Tap the released Product from the filtered results.

    The Work order production tracking details page displays.

Step by step: Work order production tracking details page

  1. In the Work order production tracking details page, leave the production Quantity or enter the actual quantity of the released product received from the production site.

    You can receive more or fewer than the planned production quantity.

    To split the released products, edit the Quantity. You should do this if the released products have been stored in different lots, batches or containers, in different bins in the warehouse or workshop, or because some of the released products have different inspection and quality assurance ratings.

  2. Scan, select, or enter the inspection and quality assurance Status rating given to the entered quantity of the released product.
  3. Scan, select, or enter the Location or bin in the warehouse or workshop the released products are stored in, if applicable.

    You can filter for the Location.

  4. Scan, select, or enter the Lot identification number or batch code for the released products, if applicable, and enter or select the Sublot.

    You can filter for the Lot and Sublot.

  5. Enter or select the Expiration date after which the products in the lot or sublot should not be used, if applicable.
  6. Enter or select the Serial number of the released product, if applicable.
  7. Scan, select, or enter the Container the released products have been received into and the License plate number attached to the container, if applicable.
  8. Leave Close as Yes if production of the released product for the work order is complete and has ceased.

    If you expect production to continue, select No.

Step by step: Track a different product for the same work order

To receive a different released product for the same work order from the same production site:

  1. In the initial page, scan, select, or enter the released Product.
  2. In the Work order production tracking details page, leave the remaining production Quantity or enter the actual quantity of the released product received from the production site. The Quantity defaults to the remaining balance. The quantity is expressed in the stock Unit defined on the released product record.

    You can receive more or fewer than the planned production quantity.

    To split the released products, edit the Quantity. You should do this if the released products have been stored in different lots, batches or containers, in different bins in the warehouse or workshop, or because some of the released products have different inspection and quality assurance ratings.

  3. Scan, select, or enter the inspection and quality assurance Status rating given to the full or the split quantity of the released product.
  4. Scan, select, or enter the Location or bin in the warehouse or workshop the released products are stored in, if applicable.
  5. Scan, select, or enter the Lot identification number or batch code for the released products, if applicable, and enter the Sublot.
  6. Enter or select the Expiration date after which the products in the lot or sublot should not be used, if applicable.
  7. Enter or select the Serial number of the released product, if applicable.
  8. Scan, select, or enter the Container the released products have been received into and the License plate number attached to the container, if applicable.
  9. Leave Close as Yes if production of the released product for the work order is complete and has ceased.

    If you expect production to continue, select No.

  10. You can now:

Update work orders in Sage X3

You can only update the work order in Sage X3 with received quantities when:

  1. The Work order production tracking details page is complete.
  2. You have tapped Next.
  3. The initial page is displayed.

To receive the released products and update the work order in Sage X3, Create the production tracking.

Labels for the quantity of received products are printed automatically if the Sage X3 Work order entry transaction (GESMFL) is set to print planned documents automatically.

Work order production tracking field descriptions

This section lists fields and their descriptions organized by page. For each page, fields are listed in alphabetical order.

Your access to the fields on this page is determined by user permissions granted by your administrator, the selected entry transaction, and your system setup.

Main page

Field Description
Product

The released item name.

If the work order has only one released item you are not offered a choice, the default Work order production tracking details page is displayed.

The item is defined as a bill of materials.

Site

The production site code.

This field is populated with the site defined for the Mobile Automation user. You cannot change it.

Tracking date

The current date is the default date. You can select an earlier date than today but not a later date.

The date is used as the posting date for all for all stock transactions linked to the tracking.

Transaction

This Mobile Automation transaction is customized to the needs of your organization and your processes. The transaction you select determines the way in which you enter information, and how information is displayed and printed.

If only one transaction has been set up you are not offered a choice, the default entry page is displayed.

Work order

The work order reference.

You can only select work orders at Firm status.

Work order production tracking details page

Field Description
Close

Set to Yes if production of the released product for the work order is complete and has ceased.

If you expect production to continue, set to No.

Container

The container the released products have been received into.

This field only displays if Container management is active in the Products-sites function (GESITF).

Expiration date The date after which the released products in the Lot should not be used.
License plate number

The license plate number (LPN) attached to the Container.

This field only displays if Container management is active in the Products-sites function (GESITF). If a location is assigned to the selected LPN, it displays in the Location field automatically.

Location

The specific storage space in the warehouse or workshop for the full or the split Quantity of the released product.

This field only displays if Location management is active in the Products-sites function (GESITF). The list displays active locations assigned to your site.

The location displays automatically if:

  • You select a license plate number (LPN) and a location is assigned to the selected LPN.
  • You select a serial number with the management mode Received/Issued.
Lot

The identification number or batch code given to the full or the split Quantity of the released product. The default lot is the lot number linked to the work order when the work order was created.

Lot management is only possible if the product is managed by lot.

Quantity

The remaining quantity to be tracked for this product.

You can receive more or fewer than the planned production quantity.

The quantity is expressed in the stock unit defined for the product-site.

Serial number

The serial number of the released product.

This field displays only if the serial number management mode of the product is Received/issued or Global received/issued. If the management mode is Received/issued, the Location displays automatically.

Status The inspection and quality assurance rating given to the full or the split Quantity of the released product in the specific Lot or storage Location.
Sublot

The subdivision of the Lot. A sublot is for the same product as the lot but might be in a different location, have a different status, and a different quantity to the lot.

Sublot management is only possible if the product is managed by lot and sublot.

Unit The release unit of measure (volume or mass) for this product.
