Stock count

Use this transaction to perform the following actions:

  • Enter a count for a count line included in a stock count list.

  • Create a new count line and enter the count for this line. This line will be added to the stock count list. This can be useful if a product, a lot or a sublot for example is found physically in stock although it is not recorded in the theoretical stock.

In this transaction, you can perform the following operations:

  • Enter a zero count or leave the Counted field blank.

  • Perform a stock count in blind mode: See Functional prerequisites.

  • Enter multiple counts per line for a stock count session set for multiple counts. In that case the transaction provides you with the count status (count 1, count 2, final count).

  • Enter or select the serial numbers to receive or to issue when the product is managed by global serial number.

Prerequisites

In Sage X3, perform the actions described below:

Functional prerequisites

  • Stock count sessions (GESSNX)

    Open: Stock > Counts > Stock count session

    Check that a stock count session with the corresponding stock count lists exists.

  • Mobile Automation setup (FUNADCSEARCH)

    Open: Setup > Stock > Mobile Automation setup

    In the Stock count section, select the Stock qty. displayed checkbox if you want to display the stock quantity recorded in the data base while performing the stock count. Clear the checkbox if you want to perform the stock count in blind mode.

Web service prerequisites

  1. Open: Administration > Web services > Classic SOAP pools configuration

    Stop the web service pool.

  2. Web services (GESAWE)

    Open: Development > Script dictionary > Scripts > Web services

    Perform the publication of the CWSVXACC and CWSACCNUM web services.

  3. Open: Administration > Web services > Classic SOAP pools configuration

    Start the web service pool.

How to perform a stock count

Open: Stock control > Stock count

To perform a stock count, you must enter information on different pages:

  • The initial page is used to select the Stock count session and the Stock count session list.

  • Each following page displays the stock details of each already existing stock count line number. It is used to enter the number of counted products.

  • If a product is managed by global serial number, and the counted quantity is different from the stock quantity, you can select the range of serial numbers to receive or to issue.

  • If a product is found but is not yet recorded in stock, you can insert a new line and use it to enter the stock details of the product and the number of counted products.

Operating mode

  1. In the initial page, check that the Site default value is correct. Scan, select or enter the Stock count session and the Stock count session list. The Enter stock details page automatically displays the stock details of the first count line.

  2. You can perform one of the following actions:

    • Tap Next to skip the line and display the Enter stock details page displaying the next stock count line.

    • Enter the number of counted products and tap Submit.

      1. The product is not managed by global serial number or the product is managed by global serial number and the counted quantity is the same as the stock quantity: The entered count is updated in the database. The next stock count line displays.

      2. The product is managed by global serial number and the counted quantity is different from the stock quantity: The Enter serial number page displays automatically.

        • Define the range of serial numbers to receive or to issue.

        • Tap Save to display to the next stock count line.

      Repeat step 2 for each stock count line.

    • Tap Add line from the More actions icon to create a new count line. The Enter stock details page automatically displays.
      1. Enter all the stock details as well as the counted number of products.
      2. Tap Create to create the count line and update the entered count in the database.
      3. Tap Cancel to go back to the last stock count line.

Step by step

Stock count initial page

   

Enter the information to identify the stock count to be performed.

  • The Site defined in the Site screen displays automatically. You cannot modify it on the current page.
  • By default, the Exclude counted lines checkbox is selected. You can clear it to update counted and uncounted lines.
When the stock count session includes multiple counts, the stock lines are considered as counted when the last count has been performed (the value of the count iteration is Final count).

  • Scan or select the Stock count session number. It must be a stock count session with the To be counted status.

  • Scan or select a Stock count session list number. If only one list exists for the selected session, this list automatically displays.
The Multiple counts text displays for information purposes only when the stock count session is set to Multiple counts.
   
After you have selected the count session list, the Enter stock details page displays automatically.

Enter stock details page

The header displays:

  • The selected stock count session number.
  • The product code.

  • The count iteration: Count 1, Count 2 or Final count. This information only displays for a multiple count session.

    The count iteration changes only when it has been completed for all the stock count lines in the stock count session list.
  • The stock count session list number.
  • The product description.

The first existing stock count Line number displays.

Stock information related to the selected stock count line displays. Some of the following information may be hidden depending on the product settings or on the product-site settings: License plate number, Location, Lot and Sublot, Serial number, Major version and Minor version.

The Unit and Statusfields always display.

The Stock quantity displays only if the Stock qty. displayed checkbox is selected in the Mobile Automation setup function (FUNADCSEARCH). If you perform the stock count in blind mode, the Stock field is not displayed. Refer to the Functional prerequisites.

Enter the number of Counted quantity in packing units.

Tap the following actions:

  • Next to skip the line and display the next one

  • Submit to update the number of counted products in the database. The next stock count line displays automatically.
    If the product is managed by serial number with a Global received/issued management mode and the number of counted products is different from the stock quantity, the Enter serial number page opens.

When you tap Submit, the status of the list is not updated. The list keeps the To be counted status.
From the Counts function (GESSNL) in Sage X3:

  • You can still modify the number of counted products.

  • You can validate the list when all the lines have been counted.

  The End of count list message displays when the last count line number is reached. Tap OK to go back to the main page.
   

Tap the More actions icon to perform the following actions:

Enter serial number page

This page displays automatically when you tap Submit if the following conditions are met:

  • The number of counted products is different from the stock quantity.

  • The product is managed by serial number with a Global received/issued management mode.

As a reminder, the header displays:

  • The selected stock count session number.
  • The product code.
  • The count iteration: Count 1, Count 2 or Final count. This information displays only for a multiple count session.
  • The selected stock count session list number
  • The product description.

The Status, Location, Unit, Stock quantity and number of Counted products automatically display. You cannot modify them.

  • The Projected balance field displays the difference between the counted quantity and the stock quantity:

    • A negative value displays if the counted quantity is smaller than the stock quantity. The negative value is the quantity which has not been counted and needs to be issued from stock: You must select the existing serial numbers to be issued from stock.

    • A positive value displays if the counted quantity is higher than the stock quantity. The positive value is the quantity which needs to be entered in stock. You must enter the new serial numbers.
   
 

 

  • Enter the Starting serial number to receive or select the Starting serial number to issue.

  • The Ending serial number automatically displays. It is calculated based on the Quantity.

Add a new stock count line - Initial page

This page opens from the Enter stock details page when you tap Add line from the More actions icon.

As a reminder, the header displays:

  • The selected stock count session number.
  • The count iteration: Count 1, Count 2 or Final count. This information displays only for a multiple count session.
  • The stock count session list number.

All the fields necessary to enter the details of the new count line are displayed.

  • The License plate number (LPN) field displays only if Container management is active in the Product-Site function (GESITF).
    Scan, select or enter an LPN. If a location is assigned to the selected LPN, it displays automatically in the Location field.

  • The Location field displays only if Location management is active in the Product-Site function.
    Scan, select or enter the location. The list displays active locations assigned to the site.
    The location displays automatically in the following cases:

    • You select a license plate number and a location is assigned to the selected LPN.

    • You select a serial number whose management mode is Received/Issued.

Additional fields can be displayed or hidden depending on the product settings. These fields are described below.

  • Enter the number of Counted products.

    If the product is managed by serial number (the management mode is Received/Issued), the number must be 0 or 1.
 

  • Tap Create to create the new stock count line. The stock count line that was displayed before tapping Add line displays again.

    A GraphQL payload is sent to Sage X3. The data of this payload is mapped with web service scripts named CWSVXACC (Stock count transaction) and CWSACCNUM (Renumber) to update the Sage X3 database.

  • Tap Cancel to go back to the Enter stock details page and display the last stock count line.

Management by exception is applied. Only some of these fields display, depending on the Product settings (GESITM).

Field Product settings

Description
Lot and Sub-lot X These fields display only if the product is managed by lot.
Scan, select or enter the lot/sublot number. Entry in this field is mandatory.
Major/minor version X

These fields display only if the Major and Minor version management is defined for the product. If the entered lot and sublot numbers already exist, the major and minor version assigned to the lot automatically display. If the lot number is a new one, the current major and minor version automatically display.
Serial number X This field displays only if the serial number management mode of the product is Received/Issued.
Scan or enter the serial number. If the product serial management mode is Received/Issued, the unit, the location and the status display automatically. Entry in this field is mandatory and the number of Counted products must be 0 or 1.
Unit X This field displays automatically when you scan or enter a serial number whose management mode is Received/Issued. If the product is not managed by serial number, this field defaults to the product stock unit, but you can select the packing unit from the drop-down list which also includes the conversion factor.
Status  

Select the Status. The status displays automatically when you scan or enter a serial number whose management mode is Received/Issued.

Create the new stock count line

  • Once you have created the new stock count line, you can still update any of the information entered. Tap Submit to update the changes in the database.

  • When you create a new stock count line, existing line numbers are renumbered. The highest line number is assigned to the new line. The renumbering occurs:

    • Immediately after creating the new stock count line.

    • When loading a Stock count session list.
