The Stock count function is based on a set of stock count transactions. Each transaction is used to construct the count entry screen that is developed to meet the requirements at several levels of the grouping of the lines to be counted.

Screen management

Header

The setup of the stock count transactions contains a header, for the transaction code, an optional access code for the transaction and a status (active/inactive) and two tabs.

Tab General

This tab is covers the accounting information (automatic journal code and analytical dimensions for the transfer to accounting of the stock count variance movements).

Tab Headings

Use this tab to create the stock count entry note.

When generating a stock count list, the system selects the stock lines to be counted according to the filters and criteria specified in the session in progress (see the Stock count session documentation).
A stock count list includes a header and stock count lines. Each stock count line represents a single stock line or a product where the system stock is zero. Thus, to count a product that is managed by lot or lot and sub-lot or lot, sub-lot and serial number leads to a stock count list that can potentially have numerous stock count lines. The count must be made for each line.

To simplify the stock count and to make it more rapid, it is possible to request that the stock count function displays the lines grouped according to certain criteria, in a way that makes it possible to enter a global count for a group of stock count lines. The grouped line detail can be accessed at all times via the Action icon of the grouped line to get a more detailed stock count.
This is the main role of the Slip block.

The grouping criteria proposed are: Location/ lot / sublot / serial number / status / warehouse / license plate number. Setting up one of these fields as 'Hidden' in the transaction indicates that it will not be displayed in the stock count entry screen and thus that the stock count lines will be presented grouped according to this criteria (all the line detail remains accessible using the Action icon on the grouped line).

The product itself is always present in a group of stock count lines along with the packing unit, the PAC/STK coefficient and the stock unit: it is thus impossible to display several lines referring to different products in a grouped way. Several stock count lines for a single product but with different packing units cannot be grouped together on a single line.

Other information can be set up for information purposes: the display or not of the theoretical stock quantity in packaging and stock units, the display or not of the variance and the line value, the display or not of the ABC class of the product.

A stock count list is created for these two products for the LOC01 and LOC02 locations.

The system will create 8 stock count lines on this list (one by stock line to be counted).

According to the stock count transaction chosen, the count function presents the stock count lines in their fullest detail or only as grouped lines.

The stock count must therefore be completed for each serial number, which may become long and tedious when there are many serial numbers or when the actual stock is close to the theoretical stock.

If the LOT01 quantity for PROD1 differs from its theoretical quantity, the system automatically requests a detailed count entry for this lot (opening of the detail window), if not, the entry of the stock count can be made globally at the grouped line level for all the serial number in PROD1, LOT01.

If the quantity for PROD1 differs from its theoretical quantity in LOC01, the system automatically requests a detailed count entry for this product (opening of the detail window), if not, the entry of the stock count can be made globally at the grouped line level for the PROD1 in LOC01.

Detail block

The detail window linked to a grouped line displays all the associated stock fields. Only the display of a few information fields can be set up: variance, value, theoretical stock in STK and PAC. A revaluation rate and amount can be entered for the stock count line, for information purposes (no impact on the stock value).

Finally, it is possible to specify that the counted stock is loaded by default with the theoretical stock (Preloading check box), this is done to facilitate the serial number count entry for example, the counted quantity always being modifiable.
