This function, which can be accessed from mobile terminals, is used to create supplier receipts, to generate slips, and to automatically launch the printing of labels.

Screen management

All those fields used to identify a supplier order, a supplier and a stock line are present in this screen. It is not possible to set up the display and entry of these elements by entry transaction.
The fields displayed are distributed in the following tabs:

Tab Receipts

  • Transaction: This information is loaded with the first transaction complying with the setup rules mentioned above.
  • Order number: This information is used to select an order to be received. When an order is selected, the supplier field is automatically loaded and it is no longer accessible. Further on during entry, the products proposed are limited to those products present on the order lines for which quantities remain to be received. If no order is selected, what is dealt with here is a direct receipt.
  • Site: This information, which cannot be entered, is loaded with the default user site or with the site entered in the "Site definition" function.

Tab Receipt lines

  • Product: It is possible to enter the code of a product managed on the site or an UPC code corresponding to a product. If the UPC code is recognized, it is replaced by the corresponding product. While no product has been properly entered, the entry remains blocked on this field. If an order number has been specified, only products coming from this order can be entered. When product selection is active, the system suggests to select the products of the order.
  • Order line number: Whenever the entry concerns an order, selecting the product makes it possible to automatically deduct the line number from the order. If a single order line corresponds to this product, the field cannot be accessed. On the other hand, when there are several active lines for this product in the order, it is possible to modify the line number and to select another.
  • Supplier: When an order has been selected, the supplier code is automatically entered and it is no longer accessible. In direct receipt entry, the supplier must be entered. When a receipt line has been saved, it is no longer possible to access the supplier field as long as the receipt has not been created. A receipt only concerns a single supplier. This information needs to be entered to be able to proceed with the entry.
  • Unit: entered by the product in the case of a direct receipt or by the order upon order reception.
  • Quantity: The quantity must be entered in the case of a direct receipt line. It is loaded by default but it can still be modified if the line comes from an order.
  • Status: This information is loaded and checked in accordance with the management rule.
  • Location: This information is loaded in accordance with the management rule and checked following the standard rules (filling etc.).
  • Supplier lot: This information must be entered manually. Depending on the management rule, it can be used as a default value for the lot.
  • Lot: According to the product stock management rule, this information can be assigned or not. If it is not assigned, a sequence counter is used to determine the number.
  • Sub-lot: In the case of a product managed by lot and sub-lot, a sub-lot will be automatically submitted.
  • Serial no.: This information can be entered or not. If it is not assigned, a sequence counter is used to determine the number.
  • Close: This information can be accessed if the receipt line originates from an order and the remainder management rule allows it. Refer to the POHCLE - PO line closing Purchase parameter.
  • When this information has been entered, it is possible to go to the next document line using the O[K] button (the number of already validated lines is displayed in the top right hand corner) or to generate the slip using the [Create] button. 
    A stock transaction corresponds to a document line. Only the serial numbers can generate several stock transactions for a slip line.

    SEEINFO Because of a lack of space, the numbers of the minor and major versions are not displayed. They are, however, managed as follows:

    • When entering an existing lot, the version numbers are always assigned the numbers defined for this lot.
    • When entering a new lot, the version numbers are loaded with the numbers of the current index numbers.

    In order to display these two fields, you must proceed to a modification of the screen and hide two other fields you do not require.
    If you want to change the value of these fields, you must use the Receipts function in the Sage X3 application.

    SEEWARNING When the document line has been validated (with the OK button), it is no longer possible to return to it.

    Specific Buttons

    This button is used to create the document whereas the OK button only makes it possible to go to the next document line before creation.
    It is also used to automatically launch the printing of the slip or label/s ; it is necessary to define the setup of printing specified above.

    Error messages

    In addition to the generic error messages, the following messages can appear during the entry :

    • Problem with the location: This message appears at the end of the entry if the location has not been entered while the product is managed by location on the site.
    • Problem with the lot number: This message appears at the end of the entry if the lot has not been entered and if there is no lot counter for this product.
    • Problem with the serial number: This message appears at the end of the entry if the serial number has not been entered and if there is no serial number counter for this product.
