Use this function to adjust manually or automatically suspended shortages or movements. It can be launched in direct mode or batch mode.

All movements, including the ones specifying the lot, sub-lot and/or location and/or serial number can be adjusted.

Screen management

A selection window picks up by default the elements defined in the "Backorder management" tab of the stock-site parameters. It is possible to modify or refine preloaded criteria.

Entry screen

This window is split into several sections within which certain Stock parameters information associated with the warehouse site is displayed.

Block number 1

Stock site (field STOFCY)

Entering a storage site is mandatory. By default, this field is initialized with the site linked to the user in its function profile, but it can be modified.
SEEINFO The stock parameters must have previously been defined for the chosen site.

Product categories

Category Start: (field TCLCODSTR)

The product categories are used to classify and filter the products according to their use. This step makes it possible to refine the selection prior to carrying out the adjustment process. This code is used in the Product record to enable selections.
Category end: (field TCLCODEND)
From product (field ITMREFSTR)

Enter the selection start product number. The product ranges limit the report to these products only.
To product (field ITMREFEND)

Enter the ending product number for the selection. Product ranges are used to restrict the report to these products only.

Processes

Single-product (field MONOITMFLG)

  • If the check box is selected, the adjustment table displays the list of suspended transactions and/or product shortages by product. If a product range is also defined, the table displays the pending transactions and/or shortages of the first product. It is then required to use the [Previous] and [Next] button to access the other products contained in the product range.
  • If the box is checked, the adjustment table displays the list of all product types. 
Trace adjustments (field REGFLG)

Specify if a log is to be recorded during the adjustment of movements.
If the box Trace adjustments is checked, the box Trace errors is automatically activated and cannot be modified. 
Use priorities stock setup (field PRIDEFFLG)

  • If the box is checked, the priorities to be applied must be defined in the storage site Stock parameters.
    By default, the Priorities processes and Mvmt categ. priorities blocksof the selection window are initialized with the stock parameters and can no longer be modified.

  • If the box is cleared, priorities must be defined in the Priorities processes and Mvmt categ. priorities blocks of the selection window.

      • Priorities are used as filters and that certain database records may not appear as a function of the priorities chosen. For example, an unconfirmed shipment is entered. It leads to a backorder shortage allocation. In this case, it is not only necessary that in the process priorities the type "Backorders on unconfirmed issues" is selected but that in the movement transaction categories, the category "Manufactured and sold" is entered. If not the backorder will not appear in the list of movement transactions to be adjusted.
Trace errors (field ERRFLG)

Specify if a log file listing errors must be created at the time of the movement transaction adjustment.
Only products with available stock (field STOFLG)

  • If the box is checked, only products that can be adjusted and have available stock are taken into account upon adjustment.
  • If the box is cleared, every product that can be adjusted is taken into account upon adjustment.

Priorities processes

High importance (field SHTPAR1)

Specify for each priority level, the type of adjustment processing to perform.
Medium importance (field SHTPAR2)
Low importance (field SHTPAR3)

Movement cat. priorities

High importance (field SHTCAT1)

Specify for each priority level, the category of the movement to adjust.
Medium importance (field SHTCAT2)
Low importance (field SHTCAT3)

When statistical group ranges are specified, more precise constraints can be used so that the movements adjustment only operates on products linked to the corresponding statistical groups entered.

Adjustment of stock shortages table

The following color code provides an immediate view on the stock adjustments status:

  • in red are elements that cannot be adjusted i.e. no stock is available,
  • in blue are elements that can be adjusted i.e. the available stock covers the whole quantity to adjust,
  • in green are elements that can partially be adjusted i.e. the available stock only covers part of the requirement.

A blue line cannot be adjusted when:

  • management rules apply, with respect to the movement type,
  • no information is provided to qualify stocks (for example the lot number).

If this information is not provided, the adjustment cannot be automatic, but it can be carried out manually.

Adjustment process 

According to the added selection criteria (category ranges, product ranges...), and to the defined priorities, both for movement types and categories, the system displays the list of movements to be adjusted.

In order to adjust movements:

  • check the line to adjust, 
     
  • proceed with the adjustment:
    • either by clicking on Adjustment The adjustment is automatic. The movement is adjusted according to the issue rule defined for the product category.
    • or by clicking on Stock shortages adjustment from the Actions icon. The adjustment is manual. The stock line used to adjust the movement must be selected from a picking list of available stock lines.
      Update 8.0.0 and higher:
      Filter this list with respect to the location restraints and/or to the lots of the movement to be adjusted.

The processing generates a log, regardless of the chosen adjustment method. It can be printed.

Search

When adding selection criteria using the [Criteria] button, clicking on this button refreshes the list of movements to adjust.

Include all

Use this button to select the set of movements to adjust listed on the adjustment screen.

Exclude all

Use this button to uncheck the set of movements to adjust listed on the adjustment screen.

Adjustment

Use this button to automatically launch the adjustment of pending movements and shortages. This method is based on issue rules defined on the product categories.

Criteria

Use this button to open the initial selection window and modify it in order to refine the results on the list of movements to adjust.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Site …. : non-existent record

The site does not exist in the sites table.

Stock parameters not defined for this site

This message indicates that no record exists in GESSTE (stock parameters) for the selected product.

Automatic adjustment impossible, the following information is missing: Location:

This message appears when the "auto. adj. if location not entered" field in the stock parameters is not ticked. This implies the "location" information is missing n a stock line.

Automatic adjustment impossible, the following information is missing: Lots

This implies the "lot" information is missing on the stock line of a product managed by lot.

Automatic adjustment impossible, the following information is missing: Statuses

This message appears when the "auto. adj. if status not entered" field in the stock parameters is not ticked. This implies the "status" information is missing on a stock line.
