Use this function to create interest notes based on late charges calculated in the Early discounts/Late charges function (GESTDA).

Process

1 Set up late charges in the Early discounts/Late charges function (GESTDA) and then link them to an open item.

2/ Select the criteria such as company, due date, site, payment method, etc. to generate a list of interest notes. When you click OK, a new screen opens with a Details grid that displays the list of open items.

3/ The results display in a grid that lists the open items that are eligible for interest notes, grouped by company. If an interest note has already been issued for an open item, the Due date and No. days columns are highlighted blue.

4/ Generating interest notes:

For each item in the Details grid you can decide which opens items to include by selecting Yes or No in the Select column.

You also have the option to Include all or Exclude all.

For selected items, interest notes are generated as a document in Customer BP invoices (GESBIC). The document type is based on the

IDNINVTYP- Late charges invoice type parameter setting. You receive an error message if this parameter has no value.

By default, open items are grouped by customer site and currency. This means that one interest note is created for each Customer site. If you have one customer with two sites, this would create two interest notes for the same customer, one for each site. However, you can choose to group all sites under one customer. In that case, only one interest note is generated that includes late charges for all open items for all sites.

When you click Create, the interest notes are generated, and the records stored in Customer BP invoices (GESBIC) as an invoice. Each open item with its late charge is listed on a separate line. Amounts cannot be changed.

The accounts used to generate the interest notes journal entry lines are those defined for the Early discount/Late charge code.

It is the same for dimensions; however, if there are more than one line with different Early discount/Late charge codes, the dimensions allocated in the header of the document are related to the first code.

Limitations

The following limitations apply to Late charges management:

Reversal process

After you generate an interest note, you can revert the process by creating a credit note linked to the main document. This deletes the records from the Interest notes table (DNODEBNOT) when the credit note is posted.

This is the only way to revert the interest notes.

Late charges amount calculation

The late charge amount calculated is always based on the initial due date or on the date of the last interest note issued for that open item.

This means that the amount is based on the table from the open items (GACCDUDATE) related to the open amount (AMTLOC-PAYLOC-TMPLOC). Therefore, the original amounts from previous matching, and calculating the days until the next matching, are not considered. To sum up, the HISTODUD table is not analyzed for this purpose.

Dimensions header allocation

The dimensions used to generate the interest note lines are those defined for the Early discount/Late charge code. However, in a situation with more than one line with different Early discount/Late charge codes, the dimensions allocated in the header of the document are related to the first code. This means no dimensions by default are managed at this step.
