Use this function to inquire data at the detail level via the analytical balance, or at the aggregated level via the Financials analytical pyramids. You have access to the inquiry of dimensions or accounts and to the journal inquiry.

SEEINFO Report data are displayed according to the column setup and the selected customized screen or destination.

Accumulation levels

The Accumulation levels table determines the number of elements to be crossed and their crossing order.

The analytical balance inquiry authorizes the management of a maximum of nine accumulation levels.

From six pyramids onwards, the accumulation levels are possible up to nine levels, within the limit of the three following cases:

  • 7 pyramids: the number of accumulation levels is limited to 7.
  • 6 pyramids: the number of accumulation levels is limited to 8 (i.e. 6 pyramids and 2 lines).
  • 5 pyramids: the number of accumulation levels is limited to 9 (i.e. 5 pyramids and 4 lines),

CCT and PRO types are not mandatory.
When inquiring the analytical balance, the results are the following:

  • On ANA chart + PRO and CCT types
    Result: 701000   /   PRODUCT1   /   COST1        1.111
    => This is true when you enter dimensions AND dimension types in the criteria. Otherwise, the three entries are available.
    SEEINFO If sections are not entered in the start/end range among the dimension type criteria, the result only includes entries of the entered dimension type.
  • On ANA chart + PRO type
    Result: 701000   /   PRODUCT1                          1.111   
    Result: 701000   /   PRODUCT2                          2.222
    => This is true if the box All types entered is checked. Otherwise, the three entries are available.
  • On ANA chart + CCT type
    Result: 701000   /   COST1                               1.111   
    Result: 701000   /   COST2                               3.333
    => This is true if the box All types entered is checked. Otherwise, the three entries are available.

Fields

The following fields are present on this tab :

Company

Enter the company code for the inquiry.

You can enter the code for:

  • A legal company
  • A group of companies
  • A group of sites

If the inquiry concerns a group, several conditions must be met:

  • The ledger-keeping currencies of the various companies must be identical.
  • The viewed charts of accounts must be identical.
  • The companies must not have different divisions by period.
  • The number of companies in the company group must not exceed the value entered in BLAMAXCPY – Dimension balance inquiry max parameter (CPT chapter, ANA group).
  • Ledger type (field LEDTYP)

Select the ledger type on which the balance will be based. The inquiry will only deal with those ledgers involved in an analytical tracking.

It is possible to analyze the accounting data for a site or a group of sites.

  • Start: first site concerned by the balance inquiry.
  • End: last site concerned by the balance inquiry.

If only one site is the subject of an inquiry, the same code must be entered in the Start and End fields.

 

Budget

Select the budget assigned when generating the analytical balance. The program submits the codes of those budgets whose chart codes are located on the ledger type, but it does not submit those having the option Operating budget checked.
It is possible to work with a maximum of three dimension types (defined in the budget setup).

SEEWARNING The inquiry of the balance can only concern one and only one budget.
The budget setup (chart of accounts and dimension types) must be consistent with the setup of the consulted sites, companies or groups. 
Group of companies and budget are not compatible as a budget is defined at the company or site level.

Select the version of the budget that will be concerned by the analytical balance. Only one version of a same budget must be checked as 'Default'.

SEEWARNING The inquiry of the balance can only concern one and only one version.

Grid Periods

  • Start date (field DATDEB)

This date is used to define the inquiry start period.
The system enables three different periods to be managed. The periods correspond to those that are defined in the company for the selected ledger type.

  • End date (field DATFIN)

This date is used to define the inquiry end period.

Grid Columns

  • Amount (field TYPCOL)

The system can manage a maximum of ten extracted amounts, each being linked to its extraction period.
SEEINFO Six columns are managed on print mode.
For charges and revenues, the positioning is defined at account level.

  • Period (field PERCOL)

This field is used to specify the period (in the 'Periods' block) for which the inquiry of the amount will take place (maximum of three).

Grid Accumulation levels

  • Type (field TYP)

The 'BP' type is not submitted if a budget is requested.
When the analytical account has the collective type, the budget entry is carried out on a collective account only, and not on a collective account associated with a BP.

This field contains the code of the concerned dimension view.

  • Pyramid (field PYRSEC)

Non-mandatory field used to request an inquiry following an account or dimension pyramid. The submitted list of available pyramids is linked to the selected chart of accounts or dimension type.
For the 'Account' or 'Dimension' type, if the budget is defined at the level of an account or dimension pyramid, the code of the pyramid is automatically submitted.
If the inquiry is based on a pyramid, the definition level, as well as the print start and end ranges must be entered.

  • Lev. (field NIVSEC)

Definition level of a group of accounts or a group of dimensions.
This level must be strictly less than 99, the level 99 being the finest level rewerved by convention to the accounts.
If the group is included in another group of the pyramid, the level must be strictly higher than the level of the group into which it is included.
If the group contains sub-groups, the level must be strictly lower than the level of the sub-groups.

  • Start (field SECDEB)

If no start or end account or dimension is specified, the totaling will concern:

  • all the dimensions attached to the selected dimension type,
  • or all the accounts attached to the selected chart of accounts,

based on the 'Account" or 'Dimension' choice.

  • End (field SECFIN)

 

  • Print row start (field RNGSECDEB)

Printing order of the groups of a same level.
On inquiry of the analytical balance, specify the start and end print ranges.

  • Print row end (field RNGSECFIN)

 

Currencies

The extraxcted amounts are stored in the transaction currency and the ledger-keeping currency. Entering the currency of origin is used to filter and only consider the amounts for the transaction currency specified here.
If the currency of origin is not specified, the amounts will be extracted for all the currencies.

The print currency makes it possible to display the amounts in this currency. When this currency is the local currency, the amounts are extracted and displayed directly from the balance. Otherwise, amounts are converted to the exchange rate type specified in the CNSCURTYP parameter and at the inquiry date.

  • Rate (field COURANA)

When the currency is not stored in the table and the print currency is different from the currency of origin, the exchange rate is requested.

  • field LIBCUR

This field specifies the conversion sense selected to display the exchange rate.

  • Budget rate (field COURBUD)

The budget is stored in a single currency. In the event of a budget being assigned via the generation of the analyical balance, if the print currency is different from the currency entered at budget level, you need to specify the budget exchange rate.

  • field LIBBUD

This field specifies the conversion sense selected to display the exchange rate.

Miscellaneous

  • Site detail (field DETSIT)

If this box is checked, the program adds a column, in the balance print, that will be loaded with the code of the site to which the various totalling levels belong.

  • All dimensions entered (field TAXE)

Only those recordings for which all the requested dimension types are entered will be retrieved.

  • Carryforwards (field ANOUVO)

It is possible to request the print of the carry-forward entries by checking the Carry-forward box.

  • Short description (field INTCOURT)

If the inquiry screen specified in the following field plans the display of titles, it is possible to choose the display of short titles by checking the Short title box.

  • No dimension type entered (field AAXE)

This field displays the recordings corresponding to the request, even if no dimension type has been entered.

  • Closing (field CLOTURE)

Check the box Close if you wish to print the closing entries.

Destination

  • field DESTIN

Ton print the analytical balance, it is possible to check:

  • Print, for a paper print, or in .pdf format or in file, by selecting a report.
  • Inquiry, for an inquiry, by selecting a screen.

This field is used to enter the code of the report than can be used for the balance printing. There are various print types: preview (PREVISU) submitting an overview of the balance before printing, the editing in a pdf (PDF) file, the inserting of the report in a message and the printing directly on your printer.
SEEINFO If the field is not entered, the PREVISU screen code is used by default.

This compulsary field is used to enter the screen code that can be used for the inquiry of the balance.

Presentation

  • Presentation sign (field SENS)

This field is used to choose the printing sense.
For example:
If the selected presentation sense is 'Debit', a revenue commitment will appear as negative.

The presentation sense impacts the commitment and pre-commitment columns.
This change in the sense is taken into account at formula level.

  • Divisor (field DIVISE)

Specify a unit for the divisor.

For example, to build a budget in Euro, enter 1. All amounts will be divided by 1 (Amount = €10,000 Amount obtained = 10,000). 

To build a budget in Kilo Euro, enter 1,000. All amounts will be divided by 1,000 (Amount = €10,000 Amount obtained in Kilo Euro = 10).

Additional information

Display of analytical quantities

For any account/type(s) combination, the Analytical quantity column displays the total of quantity balances. This total is calculated by considering the +/- sign of each entry line and by applying the Debit-Credit formula.

SEEINFO The quantity on the entry line is considered as having the same sign as the line amount.

Entry with a positive credit amount and positive quantity

The balance of the quantity is displayed with a minus sign in the analytical balance/pyramid inquiry.

Entry with a negative credit amount and negative quantity

The balance of the quantity is displayed with no sign, meaning a positive value, in the analytical balance/pyramid inquiry.

Entry with a positive debit amount and positive quantity

The balance of the quantity is displayed with no sign, meaning a positive value, in the analytical balance/pyramid inquiry.

Entry with a negative debit amount and negative quantity

The balance of the quantity is displayed with a minus sign in the analytical balance/pyramid inquiry.


Specific Buttons

Click this action to save the current settings in a Memo code to be reused later. The memo is linked to your user profile, not to the function or the screen.

If a memo code entitled STD is associated with the screen, it is loaded immediately on entering the corresponding function.

Click this action to enter a Memo code previously saved and change the setup.

Click this action to delete a Memo code.

Limitations

Limits related to access codes

The analytical balance can be launched using a budget code when:

  • the user cannot retrieve the related access code in the list,
  • or the user has the access code but does not have inquiry rights.

However, at the details level, for totals related to accounts with or without a pyramid (and with or without an access code), the accounts are locked: when the user does not have inquiry rights or the proper access code to some accounts, then these accounts are not displayed. Besides, in this context, the total displayed in the details grid only includes the amounts related to accounts authorized for inquiry.

Here, the software does not consider the potential budget and/or pyramid access codes, but focuses on the access code set up for accounts.

In the event of an analytical balance inquiry with a "dimension"-type totaling level, no lock applies to the screen access codes, whether it concerns a budget, a pyramid or a dimension. All the valued dimensions belonging to the specified dimension type are displayed, even if for some dimensions the user does not have the related access codes, or does but without inquiry rights.

Error messages

In addition to the generic error messages, the following messages can appear during the entry :

Chart of accounts incompatible between companies

The inquiry is requested for a group where the charts of accounts are not identical.

<company code> <period end date>: Incorrect period

The inquiry targets a group where companies do not have the same period split.

Incompatible currency

The inquiry applies to a group where ledgers have different currencies.

Too many companies

The inquiry is requested for a company group that includes more companies than the maximum value defined in the BLAMAXCPY – Dimension balance inquiry max parameter (CPT chapter, ANA group).
