Use this function to run the calculations, or to rerun the calculations to extract the financial data for one or a range of spreadsheets in a report group.

This operation is mandatory before you can inquire upon the extracted financial data.

Screen management

Entry of the extraction start parameters is carried out in a single screen.

This function does not have a print or inquiry facility. Use the Financial data extraction inquiry function for this.

Selection block

Select a group of reports to be calculated.
By default, the calculation applies to all the spreadsheets (tables) present within this group. The spreadsheets included in the calculation are displayed in the List block.
If you do not want to include all spreadsheets:

  • Clear the All spreadsheets check box.
  • Define the range of spreadsheets to be calculated by entering the From spreadsheet and To spreadsheet fields.

Generation block

You can:

  • Request the automatic generation of the version of each group spreadsheet.
    Select the Automatic version check box. The Version column of each spreadsheet is then updated in the List block.
  • Enter the new version in the New version field. This version will be unique for all the selected spreadsheets, that is all spreadsheets will be assigned the same version name.

The version number - created automatically or manually - can always be modified in the Version column of each spreadsheet of the group.
To facilitate the creation of monthly spreadsheets in particular, you can edit an existing spreadsheet, keep all of its original parameters, and only change the defined months for example.

List block

The Spreadsheet column lists the spreadsheets of the group and the version number to be generated in case the related information are modified (manual or automatic version number).

Parameters block

For each column in the spreadsheet, enter the following:

  • At least the company or a group of sites.
  • The start and end dates of the accounting period.
  • The selection currency. You can enter:
    • A specific currency. For example, if you enter "USD", only the amounts in USD currency are extracted.
    • The value "". In this case, all the amounts are extracted in company currency (or reporting currency when a grouping of sites does not present a common currency).
  • The print currency. This date is mandatory. It is closely related to the selection currency and to the Rate type column:
    • If it is the same as the selection currency, then the rate type cannot be accessed.
    • If it is different from the selection currency, you can enter the Rate type. It can be:
      • The value None. In this case, the Day rate is applied, based on a Rate date that matches the system date (setup defined in in the Currency rates function).
      • A specific rate type. For example, there could be a dedicated "Financial data extraction" exchange rate type expressing the rate at the end of the period or the fiscal year.
  • The movement type:
    • The Carry-forward entries are taken into account if the start date corresponds to the first period of the fiscal year.
    • The Closing entries are taken into account if the end date corresponds to the last period of the fiscal year.

Variables block

In this block you can enter values for which variables will be used.
If the variable is controlled by a data type, a check will be performed on its existence.

Error messages

The only error messages are the generic ones.
