This function is used to generate multi product stock receipt notes for a given site.

Using this function, it is possible to receive into stock using locations of the type "pending storage"; this stock will later be put away into the final location via the storage plan.

SEEREFERTTO A Miscellaneous receipts function is also available in VT mode. This function, which can be accessed from a virtual terminal, is used to create supplier receipts, generate notes and automatically launch the printing of labels.

Screen management

Entering a miscellaneous receipt note is done on a single screen. The presentation of the note depends on the transaction chosen.

If a single transaction is set up, no choice is offered on entering the function. Otherwise, a window opens to present the list of transactions available for use (the choice can also be restricted by access codes).

Depending on the setup of the selected transaction, it is possible to associate a movement code and/or a project code with the receipt note.

Fields

The following fields are present on this tab :

Enter or select a storage site at which the selected product is active.

The Selection icon (magnifying glass) only suggests products that are referenced in the products-sites table.

  • Entry (field VCRNUM)

The document type, the document number and the document line number are used to identify the origin of the stock movement:

  • Supplier receipt
  • Customer delivery
  • Work order
  • Receipt movement
  • Description (field VCRDES)

This is the description of the document.

  • Allocation date (field IPTDAT)

This is the date which is used when posting the movement. It defaults to today's date but can be changed to an earlier date, if the selected date is in an open period in the accounting calendar.

SEEINFO You cannot enter a date later than today's date.

Movement group, initialized by the movement group of the transaction being used.
This statistical information is recorded in the stock journal when saving the receipt/disposal movements. This movement group comes from the miscellaneous table number 9. The value given in the transaction setup corresponds to a default value that can/cannot be visualized and/or modified according to the transaction setup (entered, displayed, hidden field).

This field contains the reference of the project for which the information has been entered.
This field is not controlled in a table.

  • In a request for quotes, this field is empty by default.
  • in a purchase order, this field can be initialized by default using the Project reference of the previous line or that of the request for quotes considered.

It is possible to enter a free code or a project code defined in the Project object in the CRM activities module. In this latter case, the user has two possibilities to enter such a code:

  • the first contextual menu, Selection, is used to select a project from a selection list containing all the projects defined in object Projects,
  • the second contextual menu Projects is used to directly access the Projects object, according to the user's authorizations, and then to carry out a selection.

If the order arises from a requirement and this requirement has a project code, the project code of the order will be initialized with this project code.

  • Warehouse (field WRHE)

The presence of this box is subject to the activity code WRH.
Movement warehouse, suggested by default for all the document lines.
It must be entered if it is defined as mandatory at the level of the entry transaction.
It is loaded in priority with the warehouse defined for the user. If it fails to be set up at user lever, it is initialized with the warehouse defined, by default, at site level for this type of movement.

  • Dock location (field SRGLOCDEF)

This field is displayed if the entry transaction authorizes receipts on dock. Use this field to enter the dock type location used by default for the stock receipts to be performed. A selection window is used to select the dock type locations defined in the receipt site. The specified dock location must be associated with the warehouse, when the latter is specified.

A dock location corresponds to a "pending put-away" (storage) location. It is used to receive the goods quickly, and later to more precisely identify and store these goods. This put-away is achieved using the Put-away plan function. The stock detail information, such as the lot, sublot and serial number, does not need to be entered right away. However, for products managed in stock, the mandatory information is the receipt unit, the quantity and the stock status.

Fields

The following fields are present on this tab :

Grid

It is necessary to enter the product code to be received.
In the Product field, using a contextual button, it is possible to access the description of the main product management rules (Management data button) and the list of units of measure defined for the product with their respective management methods (Units of measure button).

  • Product description (field ITMDES1)

This is the description entered on the product record. This description is transferred from the sales invoice to the purchase invoice in case of inter-company invoicing. When the invoice stems from another document, the standard description is inherited from the source line.

According to the setup of the transaction it is possible to carryout the receipt entry in a packing unit, or to choose from the list of units defined for the product or in stock units alone.

Additionally it is possible to enter on the same receipt note line using several different units.
To do this, it is necessary to detail the line in the window entitled "Quality detail entry": this window opens automatically if stock information is missing from the line entry.
When this is not the case, it is necessary to open it using the right button on the receipt note line. If a receipt line is distributed over several different units, the unit field in the document line is loaded with the $ character.

  • Quantity (field QTYPCU)

It is the allocated quantity expressed in UOM unit.

  • PAC-STK conversion (field PCUSTUCOE)

This field displays the conversion factor used for the unit of measure of a quantity and the stock unit of the corresponding product.

 

  • STK quantity (field QTYSTU)

 

  • Warehouse (field WRH)

The presence of this field depends on the activity code WRH.
It is initialized with the warehouse present in the document header.

  • It can be modified if it is defined as enterable in the entry transaction.
    If it is entered, the warehouse will be automatically entered on the stock detail lines and can not be modified.
  • It cannot be modified when the entry transaction is set up as single-warehouse managed. The header warehouse is then mandatory and the warehouse cannot be entered either on the document lines or on the stock detail lines.
     
    To manage multi-warehouses on the lines, it is necessary, at entry transaction level, to set up the warehouse-line so that it can be entered. The split of a same line on several warehouses is carried out in the window Quantity detailed entry available by right-click.
    When a receipt line is distributed on various warehouses, this field is loaded on the slip line with character '$'.

SEEINFOThe warehouse entered on the line has priority over the warehouse entered in the header.

  • Status (field STA)

The stock status is used to define if a product is:

  • A: Accepted
  • Q: Pending Quality Control
  • R: Rejected.
    A sub-status composed of two alphanumerical characters is used to further define the status.
    For instance:
  • RD: Rejected products to be destroyed
  • SR: Supplier return

The status assigned to the stock receipt is enterable. It depends partly on the product management rule (see "Management" tab in the product category to which the current product belongs) for the movement type "Miscellaneous Receipt" and for the movement code defined by the transaction if it exists. A default status can be set up on the management rule.

Moreover, if the product is managed with modifiable quality control (see the Product record, Supplier tab, Quality section), the system necessarily offers the receipt of stock with a status type Q*, but the user is free to enter the stock with the status A* or R*, according to which is authorized by the management rule.

Finally, if the product is managed with non-modifiable quality control, the system necessarily offers the entry in stock with the status type Q*, but the user cannot change the status to A* or R*.

In all cases, the list of statuses authorized by combining the management rule and the quality control management method for the product is available using the right button on the status field.

Additionally, it is possible to enter the same receipt note line using several different statuses. To do this, it is necessary to detail the line in the window entitled "Quantity detail entry": this window opens automatically if stock information is missing from the line entry. When this is not the case, it is necessary to open it using the right button on the receipt note line.
If a receipt line is distributed on several different statuses, the character $ will be displayed on the Status area of the document line.

  • Location type (field LOCTYP)

Location types are used to codify warehouse locations according to storage characteristics such as their dimensions, authorized statuses and technical constraints.

They are associated with the products by site (or the products by warehouse when warehouses are managed): you can thus geographically group the products that share similar characteristics.
The location type of the product is suggested by default. It can be modified if it is defined as available for entry at the level of the entry transaction.

SEEINFO When warehouses are managed, entry of a location type is only permitted if at least one location is linked to the entered type and warehouse.

  • Location (field LOC)

According to the setup of the miscellaneous receipt transaction, the information related to locations can be accessible and entered or not at the level of the receipt note line.
On the other hand, in all cases, these fields are accessible at the level of the detailed entry of the receipt note, provided that the product is managed by location. If the product is not location managed, the detailed entry of the receipt does not offer the fields location type and location.

The storage location is automatically loaded according to the location type if it is specified, otherwise, the location taken into account is by default the location defined in the Product-warehouse, if the warehouses are managed, or else the location defined in the product-site record.
This value can be modified later.

SEEINFO When the warehouses are managed, only a location linked to the specified warehouse can be entered.

Additionally, it is possible to enter on the same receipt note line using several different locations. To do this, it is necessary to detail the line in the window entitled Quantity detail entry: this window opens automatically if stock information is missing from the line entry. When this is not the case, it is necessary to open it using the right button on the receipt note line. If a receipt line is distributed over several location types and/or different locations, the corresponding fields on the document line are loaded with the $ character.

  • Supplier lot (field BPSLOT)

The supplier lot number can be entered for information purposes in the receipt transactions.
It is stored in the stock file, and it matches the internal lot number, which guarantees the traceability of the origin of the goods.
It can be displayed on the screen for information purposes in the stock issue transactions.

If the product is managed by lot and this is a new lot number that is manually entered, it is possible at the time of the receipt to assign the original supplier lot if it is known (no specific control is carried out on this information).

A selection window is used to choose a supplier lot among known ones (that have the object of a receipt).

Additionally, it is possible to enter on the same receipt note line several supplier lots. To do this, it is necessary to detail the line in the window entitled "Quantity detail entry": this window opens automatically if stock information is missing from the line entry. When this is not the case, it is necessary to open it using the right button on the receipt note line. If a receipt line is distributed on several different supplier lots, the character $ is displayed in the corresponding field of the document line.

  • Lot (field LOT)

  • If a product is not lot managed, the Lot and Supplier Lot columns are not accessible.
  • If the product is lot managed, different cases are possible as a function of the lot management rule associated with the movement type Miscellaneous receipts and as a function of the product lot management rule.

    If a product is managed with mandatory or optional lot, the access to the lot field depends on one hand on the setup of the receipt transaction used but also on the management rule Miscellaneous receipts defined in the Product category or in the Stock management rules.

    Indeed, at this level the user specifies that the lot:

    - is not entered,
    - is entered freely,
    - must be a new lot.

In addition, it is possible to allocate to a lot a default value. In this case, several choices are also offered. Never initialize the lot or initialize the lot with a document number (initialization with the document number is not visible during the entry if the receipt note number is automatically allocated at the creation, it is given a blank value). If the lot number is not entered in the lot field, the document number will be written in the lot field at the posting of the receipt note. Finally, it is possible to initialize the internal lot with the supplier lot previously entered.

At the end of the entry, if no lot number has been entered, several cases can arise:

  • - either the movement management rule allocates the document number,
  • - or the system will use the lot sequence number counter for the product to allocate a new lot number.

Specific case of the products managed as optional Lot: This product type allows the entry of a blank lot field. In this case, it is necessary to specify by entry on the lot field by calling the function accessible by right click Blank Lot (the non-entry of a lot code is not sufficient in itself to allow the lot code field to be left empty). In these conditions, on saving the document, neither the sequence number counter nor the document number are used. This management method is thus incompatible with a management rule that does not allow the entry of an internal lot number.

The grid, below, summarizes the impact of the setup of the rule management of the Miscellaneous receiptstype movements in the mandatory lot management during the entry of a receipt. In the case of optional lots, there is a supplementary function available by right click on the lot field allowing the user to leave the lot number blank.

(*) The allocation of a lot by sequence number counter is made in the following manner: The system uses the lot sequence number counter associated with the product.

In the Lot area, the following right buttons are available:

  • Select: used to select a lot number from a list of lots declared for the site. If the product is managed by lot and sub-lot, the sub-lots will also appear in the selection window. The choice of a lot and sub-lot will be used to load the lot and sub-lot fields.
  • Lot info: used to identify how the lot will be calculated, when it has not been allocated: Blank lot, lot sequence number counter.

Additionally, it is possible to enter on the same receipt note line several different lots. To do this, it is necessary to detail the line in the window entitled Enter detailed quantities: this window opens automatically if stock information is missing from the line entry. When this is not the case, it is necessary to open it using the right button on the receipt note line. If a receipt line is distributed over several different lots, the corresponding field in the document line is loaded with the $ character.

  • No. (field NBSLO)

If the product is managed by lot and sub-lot, it is necessary at the time of the entry to specify the sub-lot number associated to the internal lot. This entry is optional at the level of the receipt note line since it can be necessary to distribute a lot over several sub-lots.
By default, the system proposes the sub-lot number 00001 if no sub-lot number has yet been assigned for a lot in the process of entry. If this is not the case, the next sub-lot number is suggested as an increment of the last sub-lot.
It is possible in certain cases for the system not to offer the next sub-lot because the last sub-lot corresponds to a character chain that cannot be incremented (e.g. "AAAAA").
There is still the possibility however to enter a sub-lot code that does not correspond to the suggested sub-lot. Potentially, it is possible to enter a sub-lot that is already allocated to the lot.

it is possible at the level of the receipt note line to enter a number of sub-lots. If a number greater than one is entered, the system automatically calculates the sub-lots to be allocated using the sub-lot code entered (in this case the stock detail window will automatically open in order to validate the distribution calculated by the system).
The number of the "final sub-lot" is displayed.
If a $ is present in the two columns in the Sub-lot, it indicates that the sub-lots entered in the stock detail are not consecutive. In the detail line, it is possible to define as many sub-lots as there are stock units.

If a single sub-lot is required, the final sub-lot number is identical to the starting sub-lot number.

In the Sub-lot field, there is the possibility using the right button to calculate the next sub-lot number as an increment on the last sub-lot known by the New function.

  • Sublot (field SLO)

 

  • Ending sublot (field SLOF)

 

  • Serial number (field SERNUM)

If the product is managed by serial numbers at receipt/issue or only at issue, it is mandatory to have assigned, before saving the document, one or more serial numbers according to the quantity received (this entry is only mandatory in the stock detail window). A check is carried out to verify that the number entered is not already in stock (a serial number being considered as unitary and not divisible).

When several serial numbers are received into stock, the last serial number contains the final serial number, on the condition that the numbers are consecutive. If not, the $ character is displayed in the two fields Serial Start and Series End to indicate that the numbers entered are not consecutive. It is necessary to access the stock detail window to view all the serial numbers entered for a document line.

  • Ending serial number (field SERNUMF)

If the product is managed by serial numbers at receipt/issue or only at issue, it is mandatory to have assigned, before saving the document, one or more serial numbers according to the quantity received (this entry is only mandatory in the stock detail window). A check is carried out to verify that the number entered is not already in stock (a serial number being considered as unitary and not divisible).

When several serial numbers are received into stock, the last serial number contains the final serial number, on the condition that the numbers are consecutive. If not, the $ character is displayed in the two fields Serial Start and Series End to indicate that the numbers entered are not consecutive. It is necessary to access the stock detail window to view all the serial numbers entered for a document line.

  • Identifier 1 (field PALNUM)

Use this field to enter additional information, if necessary.

  • Identifier 2 (field CTRNUM)

This field indicates the first recorded identifier.

  • Price (field PRI)

 

  • Order price (field PRIORD)

This field can be entered at the level of the document line and/or the detail line according to the setup of the transaction used. This is the unitary amount per stock unit that can be used to value the stock (if the valuation method for miscellaneous receipt in process is Order Price).

The valuation method of the stocks is defined by product category or by product/site category. It can be set up by receipt movement type and movement code.

  • Movement description (field MVTDES)

A free description is entered in this field that will be registered in all the stock transactions associated with the shipment line.
This description is also accessible from the stock issue detail window. If it has been modified by this function, it will be automatically recovered and registered on the shipment line in this field.

The setup determines whether the analytical dimensions can be modified. These are initialized in compliance with the default dimension setup.

In creation mode, if no order line has been entered and the project code is modified, analytical dimensions are reset based on the setup of the default dimensions.

In creation mode, as in modification mode, if an order line has been entered and the project code is modified, analytical dimensions are not reset.

Enter Detailed Quantities

This function is used to access the stock detail window which allows the entry of stock information that has not been entered on the document line or to carry out the necessary distributions (with different statuses, for different locations, etc.). This function is accessible for a return line only if the stock transactions have not been recorded yet. If the stock transactions have been recorded, it is necessary to use the Change receipts function described later in this document.

Used to enter the lot complements.

Lot complement

This function is only accessible on a document line for products managed by lot where the stock receipt has not yet taken place (it is always accessible using the stock detail windows in creation or modification mode).

It is used to specify:

  • Certain characteristics that can be made mandatory by the setup of the entry transaction such as the expiry date, the potency...
    The version numbers ("major" or "major and minor") must be entered if the tracking of versions is active at the level of the product setup.
     
      • If no lot has been entered, or a new lot has been entered, these numbers can be automatically pre-loaded if the pre-loading of the versions is activated at the product setup level. They remain modifiable.
         
      • When entering an existing lot, the version numbers are assigned the version numbers of the lot and cannot be modified. 
         
  • Some purely informative characteristics can be set up, such as the lot user fields. 
Change receipts

This function is used to modify the stock movements that have been carried out at the time of the receipt. This function is very similar to the Quantity details entry function available when saving a stock movement on a document line.

This function is only available from a stable situation. This means that it is not possible to modify the receipt note (the 'Save' button must be deactivated).

When saving a modification, the original movements are canceled by "reversing" movements in the stock journal and new stock movements corresponding to the correction are created with the date of the original movements.

Use this function to modify every entered stock information and to delete a document line if necessary.
